Moving to Oneva — your domain, your email, your way

How to set up your Oneva workspace — with your own domain or ours — and bring your existing email, calendar, and files with you.

One of the first questions people ask about Oneva is: can I use my own domain?

The answer is yes. And if you don't have one, or just want to get started quickly, we have you covered too.

Two ways to get started

Option 1: Use an Oneva address

The fastest path. Pick a name, set a password, and your workspace is ready in about fifteen minutes. You get an address like yourcompany.oneva.cloud, and everyone in your team gets email at name@yourcompany.oneva.cloud.

No DNS to configure, no registrar to deal with. Everything just works from the moment provisioning finishes.

This is a good choice if you're a small team getting started, don't have a domain yet, or want to try Oneva before committing your company domain.

Option 2: Bring your own domain

If your organisation already has a domain — say, acme.com — you can connect it to Oneva. Your workspace lives at oneva.acme.com, and your team keeps their professional email addresses at @acme.com. Your existing website on acme.com stays untouched.

Setting up a custom domain requires updating DNS records at your registrar. Our setup wizard walks you through this step by step — showing exactly which records to add, with copy buttons and live verification that turns green as each record is confirmed.

The process takes a bit longer than the Oneva address option, but the result is a workspace where your team uses their real company email addresses.

Bringing your old email with you

Switching to a new email system doesn't mean starting with an empty inbox. How the import works depends on which option you chose.

If you bring your own domain, the setup wizard asks you to connect to your old mail server before you change your DNS records. This is important — once DNS points to Oneva, your old server is no longer reachable by name. So we capture the connection details first, verify everything works, and then guide you through the DNS changes. After your new workspace is active, the import runs in the background using the saved connection.

If you use an Oneva address, your old email is still on your previous provider and nothing changes there. You can import from it at any time — during setup or later from the dashboard. Just enter your old server details and credentials, and we'll pull your messages across.

In both cases, if your old provider supports calendar and contacts (CalDAV and CardDAV), we detect and import those too — so your appointments and address book come along with your email.

The import runs while you work. Your new workspace is available immediately, and your old messages appear as they're transferred. For a typical mailbox, this takes a few minutes. Larger mailboxes take longer, but you'll see a progress bar showing how far along the import is.

Bringing your files

For files, the simplest approach is also the most natural one: install the Nextcloud desktop app on your computer and point it at your new workspace. Then drag your existing files into the sync folder. They'll upload in the background and become available on all your devices — phone, tablet, other computers — automatically.

If you're coming from Dropbox, Google Drive, or OneDrive, this is the same concept you're used to. The difference is that your files now live on your own dedicated server in Europe, not on shared infrastructure.

The Nextcloud app also syncs photos from your phone, gives you push notifications, and lets you share files with colleagues — all without touching a web browser.

What about my team?

Once your workspace is set up, you can invite your team from the portal. Each person gets their own account with the same email, calendar, contacts, and file access. And if they're coming from another provider, they can import their own email during the onboarding process.
